When you decide to sign up with your Marketing Agency or your White-label Partner for Facebook (Meta) Ads, the most tedious part of the process is sharing access to the assets. At invisiblePPC, we have handled hundreds of Facebook (Meta) Onboardings by now, and in almost 95% of the cases, sharing the Ad Account and Page is the most anxiety-inducing.
To top it all off, Facebook (Meta) is notorious for frequent updates to its user interface. Can they stop it already?! Seriously.
Anyway.
We had to make it easier for our Agency Partners.
Here’s a very clear step-by-step process to break it all down into bite-size pieces.
The Assets that are of utmost importance for the Marketing Agency (White-Label Partner) are:
- Business’s Facebook Page
- Business’s Facebook Ad Account
- Business’s Instagram Page
- Pixel
All of these need to be under your or Your Agency’s Business Manager Account’s Admin Control.
But before we tackle the above, let’s start from scratch.
STEP 1: Is Your Own Facebook Account Set up Correctly?
Prior to giving any type of access to anyone, there are a few adjustments that you’ll need to make in your own Facebook Business Manager:
1. Enable Two-Factor Authentication: Reinforce an extra layer of security to prevent unauthorized access. This is required for all users who have access to your Business Manager Account. You can see them under “People”
How to do this:
i) Navigate to Business settings.
ii) Tap on Business info.
iii) Scroll down to Business options.
iv) In the drop-down menu next to Two-factor authentication, choose either Admins only or Everyone, depending on who you want the requirement to apply to.
ii) Tap on Business info.
iii) Scroll down to Business options.
iv) In the drop-down menu next to Two-factor authentication, choose either Admins only or Everyone, depending on who you want the requirement to apply to.
To disable the two-factor authentication requirement, select “No one”. Once two-factor authentication is enabled, Meta will need to remember your computer and browser information for future logins. Some browser features may block this. If you’ve enabled private browsing or configured your browser to clear history upon closing, you may need to enter a code each time you log in. Additionally, if you or your agency use a third-party app to manage Pages or ad accounts, you’ll be prompted to enter a login code the next time you sign in from the app.
2. Update Passwords: Make sure that you use strong, unique passwords for your Facebook and associated accounts.
3. Adjust Profile Privacy: Limit what personal information is visible on your profile.
4. Review Current Admins and Roles: Ensure only trusted individuals have access to your Facebook Page, Ad Account, and Business Manager.
5. Remove Unnecessary Access: Revoke access from anyone who no longer needs it.
6. Download Page Insights and Ad Reports: Keep a backup of important data before sharing access.
7. Save Security Codes: Store recovery codes securely in case of account lockout.
8. Clarify Roles and Responsibilities: Ensure both parties understand who is responsible for what.
9. Designate a Primary POC: Assign someone within your organization to communicate directly with the white-label partner.
MOST Important:
10. Ensure that the Business Manager you want to connect with your Agency’s or White-label Partner’s Business Manager has all the required assets under it.
STEP 2: GRANTING AD ACCOUNT ACCESS
Once you are done with fortifying your assets and other important processes, it’s time to share your Ad Account. Here’s how you proceed:
1. Check Admin Permissions: Ensure that you have the required admin permissions for the assets you want to share. Without these, you won’t be able to grant your partner the appropriate access levels.
2. Go to Settings: First, navigate to Meta Business Manager (now Meta Business Portfolio) and click on the “Settings” section in the bottom left corner.
3. Establish Partner-to-Partner Connection: Instead of sharing each asset separately, you can now have a partner-to-partner connection. Go to the “Partners” section and tap “Add”. Then select “Give a partner access to your assets”.
4. Enter Partner’s Business ID: Proceed to enter your partner’s business ID on the Setup screen, which they should’ve provided you with.
5. Grant Access to the Required Assets: Once the partner connection is established, assign all the necessary assets—like Ad Accounts, Pages, and Pixels—under this partner relationship. This will allow your partner to manage these assets as needed.
6. Finalize the Setup: Once everything is set up, double-check that the correct assets are shared and that your partner has the right level of access (Admin, Advertiser, or Analyst) as per your requirements.
CONCLUSION
In our experience, this is the most exhausting part of the Onboarding Process and crucial in setting future expectations about your quality of service and delivery.
You should always have the right documentation and a team well-versed in the Meta Business Center (formerly Facebook Business Manager).
